Art Gallery Software that's perfect for small collections

Commentaires : I have found them to be interested in what we are doing and willing to work with us to ensure that the software is matching our needs. We are a small gallery and so our needs parallel but they have been actively engaged.

Avantages :

This product was recommended to me by a colleague who also oversees a relatively small art collection. As soon as I contacted them they immediately responded with a helpful demonstration and answer to all my questions. The product is very intuitive, easy to navigate, and has a clean look. It also allows easy posting to social media. There is the additional advantage of reporting in various formats that allow for inventory analysis. A great product!

Inconvénients :

One minor issue is that there is not an easy way to distinguish historical artists from current contacts, as all are tracked in a "contacts" tab. Not a big deal, really, but you do need to ensure that you're completing the profile. It would also be nice if viewers who visit the public profile could see a biography of an artist that you may have entered in the contact profile.

If you could make one investment in your art career, Artwork Archive would be it!

Commentaires : We wouldn't be able to run a successful art collection the size of ours without the software and support that Artwork Archive has provided over the last few years. Their team is exceptional and they genuinely care about their users both great and small.

Avantages :

Keeping track of your art business, inventory and collection is complex and time-consuming. Artwork Archive takes the pain out of art business management and makes your non-art business interactions look like a million dollars. It's simple and easy to use and will grow with your career. Customer support is second to none. The founders often reach out and have conversations with their users.

Inconvénients :

Customizable fields and definitions. Better integration with personal websites not using embed codes. A plan and functionality for estate collection managment.

The Art of Archiving

Commentaires : I do understand the presentation and workflow of the Artwork Archive. However, I discontinued my use with the product as it seemed unnecessary. However, I do have a belief that they can change their options in the future.

Avantages :

This product review actually resonates perfectly as part of my career involves organizing visual archives. I decided to give this product a chance to shine as I was curious about what it would present. I do enjoy the clean, minimalistic appearance it prides itself in. In addition, I find myself inspired by its ease of guidance with a tutorial-listic approach to instructing its users.

Inconvénients :

I feel that, because this software gives off the impression of a community-based site, I do wish it would carry an option for users to showcase their work at a more open portal in a free plan (where they can share their work, without having to pay a large sum just to do so). It would be fair enough to provide a free plan to show your work, with limited options.

Highly Recommend Artwork Archive

They guided us through every step and provided reactive customer service all along the way. Two years later, we continue to appreciate Artwork Archive, enjoying its streamlined ease and user-friendly, intuitive dashboard.

We would have liked a field for the old invientory numbers but [sensitive content hidden] helped us through by designating an unused field for it.

So Happy We Made The Change

Commentaires : This software is extremely user friendly and has so many usable features that have already increased
the visibility of our permanent and rotating exhibits. Artist profitability has increased dramatically since we implemented this system. And sharing information is so much easier than our old system. The cost is extremely affordable in comparison to other systems out there. Another feature that helped us make our decision was the number of active users you can have on the account and customizable restrictions. Even though the thought of migrating over 4,000 records and associated images was daunting, the customer service team was right there to help every step of the way. All in all we are extremely satisfied.

Avantages :

User friendly, ease of use, multiple users with restrictions capability, public portal to share collections, customer service, attractive interface, openness of Artwork Archive to suggest new features.

Inconvénients :

It is hard to say because I am still learning to use the system efficiently. Customizable drop down menus would be a nice feature.

I love Artwork Archive!

Avantages :

It has so many features that make maintaining inventory and creating /selecting work for events and shows so much easier. It is a great tool for managing inventory locations and sales!

Inconvénients :

Having already had a large inventory and needing to enter data initially was a huge project. I'm really glad I did it though. It is so worth it. I just made it a part of my routine to enter a few each day or so. While existing files can be entered as a batch it all depends on your existing (antiquated software, in my case) as to just how much that will work for you.

AA Review

Commentaires : Wonderful! It is great to have such a simple system that holds a lot of power to connect the public and staff to the Museum's Collection.

Avantages :

The ease of use in data migration and set up, the user interface, and the record information that is available.

Inconvénients :

Not the best search function, would like more detailed records for Exhibitions.

Excellent tool for all serious artists

Commentaires : I feel like I'm benefiting every day using this software. It makes organizing inventory so simple, and much easier to communicate with galleries, etc. to show them work that's available.

Avantages :

I like being able to easily keep track of every piece of inventory, and do simple searches to find what I need. The functions that I use most are reports, collections and private rooms. The private room allows you to send a private link to a buyer or gallery to review your work in a very aesthetically pleasing, clean way. They can zoom in to see detail.

Inconvénients :

A few times I found things I didn't like or didn't fully understand but when I reached out to the Artwork Archive team, they addressed this. For example, at first there was no category for "work on paper" although they did have "drawing." I make mixed media works on paper so drawing was not what I was looking for. After I contacted them, they added the category.

Solid solution with a commitment to ongoing innovation

Commentaires : It's rare that you have an equally good experience with the product as you do the company itself...and that's been the case for us with Artwork Archive. Rather than some having some seemingly impenetrable wall that you have to breakthrough to get any help or support, they are incredibly accessible. We've also found that they follow through on their promises which is so refreshing.

Avantages :

Ease of use, ease of collaboration and the fact that the company actually listens to their customers.

Inconvénients :

I would have to get very nitpicky to identify a con. There have been times where I wish they had this feature or that feature, but those have been short-lived as the very thing I wanted to see usually ends up as part of one of their releases.

The genuine assistance throughout the transition process from our past system to Artwork Archive Inventory platform. Always available to assist with questions and navigation assistance! It's easy to navigate and provides outstanding options for managing inventory.

I would like to have more options for customizing fields-team is always providing assistance with recommendations to provide options available.

Commentaires : I initially connected with a team member who walked me through the software before the onboarding process. She was super helpful in answering my questions and incredibly attentive.

Avantages :

Artwork Archive is incredibly robust as compared to other collections management software systems. Additionally, it is priced very reasonably with a diverse range of pricing tiers.

Inconvénients :

Artwork Archive offers an excellent option for individually sharing collection pieces in private and public rooms however I wish there was a more robust public-facing interface for sharing collection pieces (ie. sorting, filtering, searching, etc.)

Couldn't work without Artwork Archive

Commentaires : They are very responsive to feedback! I've contacted the staff several times with questions and feedback and they always get back to me promptly.

Avantages :

This software is indispensable for artists keeping track of work. I can track all my inventory, where it's been shown, sales, buyer info, expenses, exhibitions - everything is in one place. You can really track as much info per piece as you'd like to. My favorite part might be the reports you can generate - it's so easy to make professional-looking portfolio pages, or inventory lists, or labels that you can print or send as pdfs.

Inconvénients :

Though it's not a major part of the software, the revenue/expenses tracking portion could be a little more robust.

Artwork Archive rocks!

Commentaires : Every Sunday I update my inventory with sales and new pieces which are automatically reflected on my website. Every Monday I get an email telling me about upcoming deadlines for exhibits. I know where my pieces are and can generate reports, labels, and print out my artist statement as needed. If you’re looking for a tool to help you stay organized Artwork Archive is the way to go!

Avantages :

It takes care of the business side of things so I can focus on painting. It’s easy to use, very intuitive, and can be integrated with your website so you only have to update things once. Also - the customer support team is great - helpful and quick to respond.

Inconvénients :

There is nothing I dislike about this software - it’s awesome!

Commentaires : A complete game changer for my business. Improved my company's perceived level of professionalism, and helps me keep track of sales and contacts that I otherwise had no great system for.

Avantages :

The most important feature for me is the "Private Viewing Room" function. Collectors are much more comfortable these days viewing and purchasing art online. As much as I like to make appointment and show people work in-person, the viewing room is an incredible way to give clients a taste of what I have to offer. Invoicing using AA is incredibly convenient too. Game Changer!

Inconvénients :

I wish there was an easy way to create newsletters or send general messages/announcements not related to a specific piece of artwork.

Great for location tracking

Commentaires : Very responsive to my questions when I was just getting started. Did a good job explaining how the software could effectively meet my needs.

Avantages :

It has allowed one person to manage and move over 275 paintings across a campus of 14 locations. I track over 100 permanent galleries and three exhibitions spaces. Tags allow me to also pull together options for thematic exhibitions as well as plan reframing projects.

Inconvénients :

I don't have any criticisms about the software.

Excellent collection management tool for artists and non profits

Commentaires : As an independent artist, I use Artwork Archive to record my work, present it for potential sale and exhibition, as well as track individual pieces as they go out for shows. Additionally I have used it to document a small non-profit’s collection that includes a diversity of work including print runs. In both capacities, Artwork Archive created a one stop place to document the collections, eliminating old spreadsheets that never got updated. Highly recommend. Affordable for working artists as well as nonprofits.

Avantages :

Ease of use, clean, minimalist presentation, openness to feedback from users, ever improving tools and resources.

Inconvénients :

I don’t have any complaints at all, but could see room for additional forms/reports from the data.

Artwork Archive is very intuitive to use, you can easily upload and manage your artworks and prepare professional reports. Good value for money.

Inconvénients :

When you create a Certificate of authenticity (pdf) for your artwork you are not free to modify the layout of the page, which results in a not-so-professional outcome - it would be great to have access to modify every section of the certificate, especially an option to insert your logo wherever you want

Why did I wait so long to try this needed application

Commentaires : I was struggling with tracking information about my artwork and my collectors. Clearly those issues will be addressed plus there is functionality that I will use that I would not have considered on my own.
Plus the program promises to link seamlessly with my website hosted on Squarespace.

Avantages :

Yes, there is up front work to load and register my artwork. And Artwork Archive works well with my photos and files and contacts. The application has great promise and the potential to make my life easier. I cannot say enough great things about their customer service and support. It is timely, comprehensive and delivered with an unexpected level of friendly interactions. That support was the final push to get me to subscribe.

Inconvénients :

There is a learning curve. And they are there to help.

The best all around artwork management software!

Commentaires : This software manages all my inventory and where its located. I run reports to keep myself on track. Its so simple and effective compared to the manual spreadsheet I used to try to keep up with.

Avantages :

The entire software package is easy to use, logical and thoughtfully inclusive with all the details I need.

Inconvénients :

I wish the location data entry could be inside the record details for the artwork so I don't have to go back and do it separately.

Completing a Legacy

Commentaires : Organization, good FAQ, helpful chat for questions, I can't say enough about it.
I heard about Artwork Archive during the pandemic when I was listening to [SENSITIVE CONTENT] daily Facebook artist demos. He happened to briefly mention it. You should give him a shout out!

Avantages :

My late husband had started a book of his art prior to his passing. He may have known where everything was but I didn't. Artwork Archive brought daylight to a morass of excel spreadsheets, jpegs filed what seemed like anywhere on his computer, and even post it notes. The software encourages the user to consider (and complete) all the details about the piece of art. It is very easy to load your art jpegs into the system, then record the information about each piece of art. The collections has been most helpful in organizing art subject matter. A useful feature is the ability to send a private link to interested parties.

Inconvénients :

Nothing. I am still learning and still like it.

Artwork Archive is a HUGE Asset as an artist/entrepreneur

The first experience with the Artwork Archive

Commentaires : We were facing a challenge to import a huge previous database to Artwork Archive. Communication and cooperation were fantastic, so we manage to do it effectively!

Avantages :

Highly professionally set features, flexibility to adjust to the specific needs of the customer, and friendly staff.

Inconvénients :

Cannot find a missing feature at the moment... maybe later, during longer usage of the platform. To have an Artwork Archive app - would be great!

We run into a number of clients that need a simple yet powerful solution for managing their art collections. Artwork Archive is just that. Getting information into the system is easy and, once the information is there, there are countless reports and ways to collaborate and share the information with other professionals (estate planners, appraisers, auction houses) that we find incredibly useful.

We honestly don't have any complaints about this software.

Great Product!

Ease of use. The process of getting the items into the software is easy. It' takes time to get it right, but when it's all there it's so great to be able to see everything and run reports
