The costs of creating one from scratch were mounting, a friend suggested bookwhen and this proved a much cheaper and easier way of bringing my yoga business online.
There's no calendar table, it's default is in list view.

Inconvénients :
Filtering events. It is difficult to create a link to filter to only a specific category of events. A lot of learnings on URLs needed.

However, we think the ability to use Markdown to create very customisable options/layouts for filtering is a good substitute in the meantime. Great for a small business!
Commentaires : My overall experience is positive. Bookings have increased, admin time has decreased and the chat support provided by BookWhen has been quick to resolve issues.
Avantages :
For me the greatest advantage is that it has given me more time. Doing all the bookings myself and the emails back and forth and trying to workout payment methods was very time consuming. Now I receive fewer emails to respond to with most customers just booking on and choosing to pay online. I feel that bookings have also increased since having the BookWhen system.
Inconvénients :
I'm not very good with using technology and it's taken me a bit of time to get my head around how to set up the BookWhen features and use them. I find that for me it's often a lot of trial and error. However, I do frequently go to the support section to read the articles which are most often quite helpful. I do wish that the forms section was more sophisticated. I tried using attachments for my forms - however customers rarely print them off and bring them to class. Paper forms is something I'd really like to get rid of.

I love how they have thought of everything I might need, and even included things that I didn't realise that I needed - like the waiting list with a time limit. I tried another booking site and it didn't have anything close to the functionality of Bookwhen. I soon learnt my way around and found it very easy to use and really could not be running my business without it now. It has taken away so much of my stress.

I haven't found anything yet that I don't like.

Commentaires : The support I get from the customer services is second to none. I cannot fault them . They are here to help and support. I wish I had set up this online booking system sooner to assist me in my small business. It frees up time so I can get on lesson planning.

Commentaires : Overall, Bookwhen definitely simplifies our booking process. I like that there are knowledge base to help us get the most out of the system. In terms of cost, the Lite plan definitely provides a good value, especially for small sized businesses like us.
Avantages :
I really like the fact that it can be sync with Google calendar to ensure that our bookings are incorporated with current schedules without any hiccups. The initial setup is very straightforward and I really appreciate the responsiveness and helpfulness of the support team.
Inconvénients :
I would say that having a wide range of features can be a little overwhelming for some users, especially for a company like us with just simple booking needs.

Commentaires : Overall I'm just thrilled with being able to take all my booking through this site because of its simple platform and the phenomenal customer service help at hand.
Avantages :
Setting up my Bookwhen account was very easy with step-by-step instructions to follow. I had researched many booking sites and just wanted something simple to book classes and some private training sessions and this was it. Its front end is clean and easy for clients to use. The backend is also pretty easy with a slight learning curve for a couple items but nothing inhibitive. Plus - and here's the REALLY IMPORTANT bit - the customer service is BAR NONE! Honestly, the tech staff replies quickly with friendly, helpful suggestions and, in some cases early-on, they completely took over my scheduling fiasco themselves and re-entered everything I had botched to help me with a time-sensitive issue. It feels like you are working with people who are actually working WITH you. Bigger, expensive platforms leave you hanging or condescend when you ask for help. Bookwhen really feels like you have your own private team to get the best for your business.
Inconvénients :
There are a couple places where I feel like the scheduling software could be more intuitive, but once you've figured out the way it's set up it's just a matter of remembering where to go for what.
Brilliant Bookwhen!
Avantages :
Its easy to use from both our perspective and the customer facing side of things. We've been using Bookwhen for a couple of years and it has completely changed the way we do things. Attendance lists are easy to create quickly but also to download and manipulate to suit our needs. We love the way you can send links to whole public pages or just specific events. The event reminders are a great help in ensuring people arrive for events or get in touch to say they aren't coming. Customer service is brilliant. We rarely wait more than 5 minutes for a chat response. They listen to our feedback and it been great to be able to influence improvements for ourselves and for other users.
Inconvénients :
There are a couple of things we'd like Bookwhen to be capable of but they are fairly minor and the company have already promised to add them to their development plan so I'm pretty confident we'll see changes over the coming months.

No need to look anywhere else, Bookwhen is the best option!
Commentaires : Bookwhen has enabled me to run my tiny yoga studio with a lot less stress. I had been thinking of just doing bookings by SMS etc, but within 48 hours, Bookwhen had already demonstrated its value. There is zero chance I would remember everyone's bookings/cancellations/changes if it was done by SMS. With Bookwhen, my customers can make their own changes whenever they need to, meaning I don't need to get involved.
Avantages :
Ease of use, excellent customer service and fantastic pricing.
Inconvénients :
There are minor limitations... eg it doesn't integrate with Mailchimp yet. But this is offset by the excellent customer service - willing to listen to suggestions, always respond quickly to confirm whether your idea is already on their list of things to look at etc...

Best Booking Software Ever!

Avantages :
Not being very tech savvy, I find this system so easy to use. I run a small home-based business so it's great that Bookwhen is not and expensive to have. Excellent Customer Support. It has all the features that I need.
Inconvénients :
I would say that the TROLLEY symbol should be bigger or a CART function needs to be applied as when some customers want to make multiple bookings, they don't always notice the trolley symbol near the class and so they book and pay for each class seperately. This causes an inconvenience.

The helpdesk behind the scenes were AMAZING! It so important to have people that care and who want to help you if you're not so technically minded. The software was easy to navigate as a user and bit most of the things that I wanted it to.
Inconvénients :
I had a few comments that the customers found the booking process a bit clumpy and hard to navigate around.

Commentaires : I now have way more time, I don't have to manually 'register' my students. I also don't have to worry about who has paid for class, the online payment system has sorted that. My students love the ease of booking class. I just have to work out how to link Zoom to Bookwhen so I will be messaging [SENSITIVE CONTENT HIDDEN] in Customer Support to help. Customer Support is AMAZING by the way, they are so helpful and have so much patience. Bookwhen has been a revelation.

Once you get used to the layout and the different functions, it is an easy system to run.
Inconvénients :
It did take me a little while to overcome my resistance to technology and I definitely made things harder for myself in the early days. If you are like me and struggle with tech stuff setting up Bookwhen may be a challenge.

Great product, service and support.
Commentaires : I've been using bookwhen since its first iteration for my coaching business after looking around for the best balance of affordability and features. Throughout my use the support team has been there every step of the way, when I've found issues or got myself confused they've responsed FAST always looked into and solved my problems. They are contining to add features, refine service and with their newer version released just under a year or so ago, the system is a lot more polished, user friendly and has helped my business and delivery grow massively.
Avantages :
Support team are awesome, friendly user interface, explanatory back end. Responsive to ideas and features users need. Decent payment portal transfers and option. Discount features/options for users.
Inconvénients :
Back end could always have a few tweaks here and there. Mobile layout for block bookings could be a tiny bit clearer.

Great customer support and great for small businesses like mine.
Avantages :
It's a good price for what I get and it works well for my purposes generally. I like to use the voucher system but don't think I get the most out of it because I don't know how.
Inconvénients :
I really want to have reminders and waiting lists but will never need the extra bookings or admins so the package is limiting for my use. The landing page could look smarter and some of the print is too small or not obvious. eg voucher code and select number should be easier.

Simple, easy to manage & integrate into payments

It’s got better over the 12 years we’ve been using it.
It’s great that we don’t have to run any software on our own systems.
Avantages :
Easy to add new courses and see who is attending via the integration into our calendar. Love the integration with Stripe for payments.
Inconvénients :
Like all software, I would like some additional features, the main one being split payments through Stripe via Klarna. The other is the ability to automatically send out a post course email.

Bookwhen is very user friendly and an easy way for my customers to book their classes and walks. If I ever get stuck with anything the team at Bookwhen always respond quickly and are always so nice about everthing. Highly recommend I like that there is a button to return customers to our own website

Would be nice to know whether cancellations have been made by me or the customer and for what reason with an easy way of tracking.

The automated system that enables customers to determine availabilty and book in themselves 24/7.
Inconvénients :
Would like to more easily amend booking infomration if there are changes e.g. to attendees. Also wouold like to be able to transfer payment if a booking is cancelled before a transfer is made. Also cannot currently transfer to booking of higher vale and pay the difference.
Ease of use, seamless interface for purchases, and outstanding customer service.
Commentaires : Mainly for the clients experience. A fast, easy way to book appointments.
Avantages :
User friendly functions on both sides, customer and consumer. The calendar function, and POS is very transparent and easy to use.

None that I can think of. Since I've started using the system they've listened to user suggestions and update accordingly.

Thanks for the great review, Angie! In terms of the public side of Bookwhen, you can actually use HTML in your event descriptions to edit the text, or insert images and videos. Many of our businesses also use emoji's in the event titles to help visually differentiate different events on the schedule page. I hope that helps?
