My experience with SmartCare has improved for the better.

Commentaires : The main benefit that a user would get from this product is all the child and family information in one place and easily accessible. Another amazing feature is the ability to print reports for attendance, billing, and other items.

Avantages :

I enjoy the real-time updates within the center, teacher and parent apps. I can also appreciate that there is always someone in customer service with anything that needs to be addressed. Lastly, I enjoy that there are always constant improvements based off of suggestions that actual users have suggested.

Inconvénients :

Thankfully, there have been so many improvements since the release of the program that there are not too many cons to mention. The only improvement that I can suggest is the ability to print out individual balance reports for families.

Commentaires : Smartcare continues to answer and support every aspect of their product. The customer support team is always available and in no rush to move on to the next customer. They will stay on the phone until the problem has a solution or they will find the solution and call us back with the answers we need.

Avantages :

Smartcare is a product that continues to be enhanced to serve the needs of the consumer.

Inconvénients :

The parent connection lacks the desired functionality that would be used by my teachers.

VERY Disappointed in this software.

Commentaires : I am VERY Disappointed in this software. I am the accountant for a company that is using SC. Although the center likes the program for child care it is one of the worst programs for accounting. There is NO way to match what was charged from the parent to what was actually deposited into our bank account. They split the deposits up and bunch others up so it is impossible to track. They do not tell you how much, other than just giving a percentage, of how much they are keeping. Therefore due to rounding issues, it's always just a guess (and that is NOT the way I keep books)! When we ask for verification of what has actually been deposited they send us a report that doesn't match what our bank account shows as a deposit. Customer service (or our member CSR) is clueless when it comes to the accounting pieces.
Their so called accounting reports also stink. Although you can click on download into Excel, you have to be a master at Excel to know how to convert the numbers into true numbers. You can NOT use the reports to add or Sum multiple cells unless you change the formatting.
I am still waiting to see if their accounting department can find the $1000 that didn't make it into our bank account.
Update (12/16): After writing my review Smartcare contacted me to help straighten out some of my issues. They sent me an Excel file of all deposits, I wish we could run this file from SC without having to contact them, but I was told that at this time the only way to get an Excel report with all information is to contact them so they can create the file. Anyway, I matched up the 6 months of deposits to their spreadsheet and it looks like the funds were deposited correctly. I now have a work around for this, when SC sends my director an email about the deposits she then forwards it to me (they can not send it to two different people). I type all the information into a spreadsheet and match it with my bank deposits. It still takes a lot of my time but this is the only way I can find out who paid their payments and to ensure we receive what is due to us. Maybe it's my untrusting nature but I need to make sure we are receiving what is owed to us and the extra hours I put into it gives me peace of mind. It's my understanding that they are working on this issue but I have not been given a timeline as to when they expect to have a fix for all the manual work in regards to accounting.

Downloads are not compatible with Excel unless you are a master at Excel. Can't match amounts collected from parents to amounts deposited into our bank. Report section should have "favorites" list or most recent reports so you don't have to scroll through everyone of them to find the one that you use all the time.

Commentaires : Customer service was great in helping me to understand the set up.

Avantages :

Parents can use with ease. The app for their smartphones gives them everything they want to know about their account, child day, erc

Inconvénients :

It took a long time to set up all the tuition types and assign each child a tuition plan. It also didn’t have a monthly plan that suited us as we figure tuition weekly and some parents pay monthly. Therefor some months have a 4 week payment and others a 5. To do this I had to go in and switch Timon plans each month.

Smartcare takes Childcare management software to a new level!

Easy to use interface
Great support and training staff

Avantages :

Smartcare is leading the change in childcare management solutions. Intuitive interface that out of the box solves most of the main needs of childcare operations. Reduce the number of solutions you need by integrating Parent communications, time and attendance, CRM, Payments and Center management.

Inconvénients :

Software is a work in progress and there are features that are still under development. Fortunately the team is rolling out improvements and new features on a weekly basis and things will only get better moving forward.

Pretty good system

Commentaires : Overall it’s been a good software. We didn’t have an app before so we don’t have another system to compare it too but it has been great for updates for parents

Avantages :

I like the alerts parents receive as well as able to send photos

Inconvénients :

Software doesn’t work easily on all devices. Sometimes issues with it going down

Smartcare simplifies the functions of managing the business of childcare.

Commentaires : Parents' billing is easier to manage.

Avantages :

Smartcare is interactive and is easy for each member of an organization to access the platform. The staff can easily communicate with parents when emergencies occur.

Inconvénients :

Parent login and log out is not as simple as it should be and I spend a lot of time signing out kids at the end of the school program day.

We liked it initially but found several problems with functionality, UI/UX, and dearth of features

Avantages :

Some features were nicely implemented - attendance, ability for teachers to sign in to multiple locations etc

Inconvénients :

Billing and invoicing was EXTREMELY difficult to implement and bill due dates were confusing for both parents and us. Lots of downtime and terrible customer support.

Commentaires : Support team is an excellent, knowledgeable Customer Success Manager. I have not found the same knowledge when I just call into the support center.

Avantages :

SmartCare has wonderful, numerous reports for any information needed. All of administration can be of assistance to customers since we all have access to the same real-time information.

Inconvénients :

SmartCare is not compatible with QuickBooks Online, tech fee should be billed when tuition is billed, and the system should be able to accept wait list fees online before a child is enrolled so a customer can receive a receipt.

I don't like when something is wrong all I can do is Email and get a email back.

Commentaires : I can see it on my Ipad or cell phone where ever I am. I can work where ever I am because all my school's information is on the ipad now.

Avantages :

I can have it on my Ipad and cell phone. I can see all my School's information where ever I am. I can send emails to parents from the Ipad. I can send photo from the ipad.

Inconvénients :

I can only email someone and only get a email back when something is wrong. The reports don't have lines. payroll don't have a spot for holiday or training. I like a Calendar that shows the kids days out for the month.

Terrible Product

Avantages :

Nothing. Other than the concept of how it is supposed to work to help me as a parent feel better and more knowledgeable about my child's day at daycare.

Inconvénients :

I have had more problems with this than I can probably list. I have installed/uninstalled the app on my phone several times due to it not working properly. The app tells me my son's teacher has not posted to the timeline, meanwhile I just got and alert 5 minutes before that something new was posted. The pictures sometimes take forever to load on the timeline, and then it just times out and and says something like "aww snap, there was a problem..." Currently, after last uninstall and install of the app, I can no longer get into my account, so therefore do not know what is going on day to day (this was in March 2017). When I try to login it tells me my password is incorrect, even though I know it is not. When I request the password using my mobile phone I get the "aww snap, there was a problem..." message. When I request the password through my desk top it tells me an e-mail was sent; however, nothing ever comes to my inbox or spam folder. Frequently, the times of drop off and pick up are WAY wrong...i.e. drop off at 12 a.m.? I really want to embrace your product and this new system at daycare, but there are quite a few glitches that need fixed. These problems are unacceptable and this system is not helping me know anything more about my child's day. In fact it is harmful, since the daycare is relying on me getting information through this and it is not working, I am not getting any information. When I contacted customer support in March 2017 they blamed it on my Android phone. Then, on an app update. Then, told me to use my husband's phone (you know just assuming). And, then just told me to use a desktop, which I have been doing ever since about 3 weeks ago. However, despite using a desktop now months later, I now no longer can get into my account. Customer support e-mail sent me a link to update my password and the link doesn't even work. Ridiculous!

Program design needs lots of work

Commentaires : Rough start. After reading online reviews I see I am not the only one and suggest the program developers work quickly at addressing the concerns from users...most concerns are addressed over and over and yet changes have not been made. How hard can it be to organize everything by first name or last name or some common denominator? Right now its very confusing and time consuming going between families, children, payment and accounting when every single category is organized differently.

Avantages :

I love that I can access it from my smartphone while away from the office. I also really like the group emailing feature.

Inconvénients :

1) The number of steps it takes to do things is time consuming and completely unnecessary. Streamline everything to be more organized and functional. 2) The "Report" section needs a lot of work and even very simple parent statements are not possible. The filtering option only works on some reports but is needed all the time. 3) Billing has had a very rough start for us as well as our families. 4) Parent APP needs to notify parents of the 2.85% credit/debit convenience change BEFORE they choose that method of payment. Being notified after inputting their card information is a waste of time and seen as being sneaky. 5) Having to have a PC, Tablet and Ipad to use all features is ridiculous. Streamline everything.

Great Easy Program

Commentaires : It has been great. They are quick to respond to issues that we are having and helpful in directing us towards solutions.

Avantages :

We like how easy it is to register our students, check them in and out each day and handle all of our billing. It makes things very transparent with parent and easy for them to make their payments.

Inconvénients :

Sometimes there are glitches in the software that takes awhile for them to resolve.

Avantages :

Our daycare facility uses this software. When we started with this we were just in as a trial run from the beginning to now it's made a lot of improvements

Inconvénients :

Just when it updates it sets some things off like on the business end and the app for the parents as well, it's a work in progress

Commentaires : My overall experience with Smartcare has been good. The setup originally was a bit overwhelming but I've muddled through and made it. I do like that you can access it from any device, I don't have to be at my desktop to work.

Avantages :

What I like most about Smartcare is the real time use. Customer service is great, they explain everything in detail. Parents like knowing when their kiddos are signed in and out. I like all the report options!

Inconvénients :

What I like least about Smartcare is that there are constant changes and families/staff like familiarity. The phone app for sign in and out is inconsistent and recently the key tags are inconsistent as well. Just my opinion but I believe the updates cause those hiccups. I also do not like that families can disable their payment accounts without my knowledge.

So thankful!

Commentaires : As a director there are lots of things to keep up with on a daily basis. With Smartcare I feel like I am able to keep up with my day so much easier than before. Gone are the days of running room to room to check ratios or to see who is even in attendance. No more clipboards with fifty sheets of paper and post-it notes all over it with schedules. I find I have more time to actually focus on the children now. When it comes time for weekly payments, it is a breeze! I no longer have to remind parents about payments because Smartcare does it for me. The only area would would love to see advancements is in the updates. While we love the updates, they sometimes cause some issues with how you have to update all systems for them to work properly.

SmartCare In a Small School

Avantages :

I like that all the family information is at my fingertips. Anything I want to be included can be entered and accessible. There are many options for reports available, and that helps as long as you have entered information correctly.

Inconvénients :

When you enter a family into the system, they do not automatically receive an invite to use the app for payments. There is also a charge for each time a parent makes a payment, and that is a hard sell to parents in a small center like ours.

Commentaires : Love the app feature for parents

Avantages :

Our favorite feature is the app for parents to pay - it frees up our directors to not have to catch parents for payments and have awkward times asking for money - the directors can focus on the children!

Inconvénients :

We haven't added the iPads to the classrooms .... worried about our teachers having their faces in the iPads and not watching the children

Overall great product with features and functionality that help run a Preschool business seemlessly

Commentaires : As mentioned previously enrollment, payments and accounting features are most valuable.

Avantages :

Accounting, payments and enrollment features work well. Reports work for the most part. The ones that work are helpful.

Inconvénients :

Overall performance issues, lack of regression testing prior to new release. Each new release creates new bugs and breaks existing functionality. During system outage there is a lack of communication to end-users. They functionality that works perfect without prior communication. Time reporting functionality does not work, especially is not compliant for State of California

recommendation for Smartcare

Commentaires : Direct tuition payments are the biggest and unexpected time saving feature of this system. I appreciate having more time to concentrate on other issues that arise as the director of a school.

Avantages :

The software is very easy to use with a little practice in navigating. The customer service is GREAT! If I can't find my answer in the documentation, I call and speak with a representative that walks me through the issue. They have always been friendly and patient. Parents love the QR code sign in/out system. I really like the messaging system!

Inconvénients :

I've received quite a few questions about or difficulty with parent pin numbers and their initial sign up. Being a new system for everyone, I am not able to answer their questions immediately. The financial reports have been a challenge in finding exactly what I am needing.

We are a former childcare manager client, so we began using smartcare because we had to.

Commentaires : cloud based and direct parent access to payment

Avantages :

Cloud based and parents can pay now using the app! Their support team is quite friendly and helpful over the phone. :)

Inconvénients :

Would love more flexible reporting (all directory info in one report) and more flexible billing packages (annual, trimester, rounding to every 15 min vs 5 min). There are more clicks required to get to view different bits of information. Childcare manager had everything in one view, had more safety features (ie the childs schedule prevented them from being double billed if they had 2 billing packages- one attendance based and one flat fee based). It also prefilled the secondary sponsors address same as primary as a default... Their implementation process and testing could have been much smoother... but we're getting there!

I was thrown into the system. It has been difficult to manuever.

Commentaires : All teachers, and staff, are able to see the same information. Parents are able pay with a credit card. Messages are able to be sent to parents.

Avantages :

Everything is right where you need it to be. I like being able to open the files in my classroom with out having to go to a paper source.

Inconvénients :

Not easy to manuever. I am not able to go into one area and pull everythin up. Having to go out of one are and then into another is qquite time consuming.

SmartCare is great!

Avantages :

Parents love the ability to receive notes and pictures about their children. Paying through the app is very convenient.

Inconvénients :

Completely internet based, so when the internet is down, you aren't able to do anything. Parents complain about the app not working frequently.

A way to communicate with parents throughout the day. Great way to keep track of child/staff info.

Avantages :

Easy way to communicate with parents through out the day on the little and big events that happen through the day. Staff enjoy, the fact that they don't have to call parents about every little thing. As we can communicate with them even those parents who have jobs that don't allow phones.

Inconvénients :

Not as easy to use on a kindle as it is on a iPad. We use it on both. The technology just seems to go quicker on the ipad then on the kindle. Really miss the app that they had for teachers as well.

I have learned this software from experimenting with it. I wish there was some online training.

Commentaires : It has eliminated some of the paperwork by making many things electronic saving some time for teachers.

Avantages :

I like that it is used for employees as well as for the clients. It does seem very cost effective as well.

Inconvénients :

I do not like the fact that as the director I can not look at a childs timeline under my log in and see what the teachers have been letting the parents know. It makes it hard for me to keep track of what the parents are hearing from the staff. Customer service is not the best either.
