Enhances the control and efficiency of the process

Commentaires : The crew was and continues to be extremely helpful in getting this product up and running, as well as in maintaining it running properly. Excellent customer service, simple to use, and we have a number of approval sets ups and cost centers that are pretty complex. The team did an excellent job of assisting with the setup.

Avantages :

Webexpenses has met my expectations to a high degree. Because to the prompt response from claimants and approvers, we have been able to reduce our overall response time, and reimbursements are now being issued more quickly. The program represents a significant advance over our previous manual system. It is well-liked by both users and AP personnel.

Inconvénients :

The software's date selection choices might be a little perplexing at times. During the first several months of usage, we encountered a few of issues that required us to escalate the issue to the programmers.

Does what it's supposed to but the interfaces are difficult to follow

Commentaires : The platform is robust and can handle the reimbursement/receipt/approval process effectively but the user interfaces are poor and make the user work too hard when performing simple tasks. I dread the monthly billing cycle because of the cumbersome nature of the interfaces.

Avantages :

I can drag and drop my invoices into the receipts area as a batch and they all upload. Then I can apply the selection of a dropdown field to all my reimbursement lines at once, which saves time. I can also see a preview of the receipt before I commit to attaching it to the reimbursement item. Finally committing reimbursements for approval is fast and can handle the selection of all rows or a selection.

Inconvénients :

The user interfaces are difficult to use and navigate. Attaching receipts to reimbursements lines is straightforward initially but if the approver rejects the request receipts are difficult to adjust from subsequent screens. Also, the description field on reimbursement lines is too small and makes reading invoice numbers and other important details difficult. These are just two examples where the interfaces seem thoughtless and clunky. Feels like this software is designed to do a thousand things but because I'm only using a few of its functions I have to put up with bad interfaces. It should be way simpler, given the simplicity of the task I am performing. Additionally, forwarding receipts from emails don't often appear correctly in the system.

Commentaires : It meets the business requirements in a very effective way.

Avantages :

The best part of WebExpenses is the approval flow. It's simple yet effective process allows our business to efficiently manage creating, approving and processing expenses.

Inconvénients :

The user interface is perhaps where the software could be most improved. We've had to deal with a few claimants who have found it difficult to navigate through the interface when creating a claim.

Commentaires : Everyone really likes the system and it works well. Very quick and cheap implementation and support has been great.

Very quick to implement and intuitive to learn

Inconvénients :

Doesn't integrate as well with other systems however all other tweaks were put through really quickly.

Commentaires : This started out on a positive note. But quickly deteriorated when we found out that their solution did not integrate with our banking partner as promised. The contact was signed prior to learning that they did not integrate to our bank as they had stated during the initial conversations. Was the contract was signed and during the workflow configuration we became aware of the issue. Their response was that we could manually download our transactions from the bank and upload them to their system. This defeated the benefits of moving forward with their solution. We have been invoiced monthly for services not implemented and have tried to get them to nullify the contact since they misrepresented its capabilities. They have refused and continue to invoice us.

Avantages :

Would have met our current needs should they have implemented as promised.

Inconvénients :

lack of integration with our banking partner.

Commentaires : It's been brilliant from the very beginning. We received plenty of support with implementation / setting up, and customer service was always available when we needed help

Avantages :

The phone app with the Smart Scan feature is brilliant.

Inconvénients :

Sometimes it's hard to find my way around as it's rather sophisticated. It is constantly being improved though

Great start but can go further

Commentaires : Specially during the current scenario Webexpenses has been very useful.
As all the claims can be settled from a remote location and a human contact is not needed.
As a user I am extremely satisfied.

Avantages :

The complete process from data input, receipt upload and claim creation was swift. I like the fact that I can use my uploaded receipts and information from one place. It is very well implemented in my organization as almost instantly the claim was settled. I like the icons which are easy to locate and use.

Inconvénients :

After data entry and receipt uploads, I had hard time to understand how to submit. Claims can't be summitted from the landing page itself. Now I know how to use it but as a new user, even after using the video from support I could not submit my claim. I had to consult with one of the relevant teams.

Webexpenses - The best around

Avantages :

As a user, it is so easy to keep track of my expenses so i am never out of pocket. The mobile app is geat for this.

Inconvénients :

Nothing to be honest. As a user for logging my expenses, it just works. I can't comment on the backend, but for my purposes it is great.

Great tool for managing expenses

Commentaires : It solves a time/admin issue by making the recording of expenses quick and simple. It also provides some consitency for submissions across the business as well as a level of accuracy. Nudges and limit caps help business control expenses - for instance a daily expense cap can be applied to a label/category (i.e. Subsitence).

Avantages :

When on the move, the app provides a great way to collate your expenses on the go. It saves doing it all in one go at the end of a month or week and digitizes your receipts. Not having to carry receipts is a big benefit and the capture system is fairly quick. Additionally, the app calculates the distance between two points (in miles) which saves working out distance traveled for mileage. This can save quite a lot of time, especially if you are used to using Google Maps or working out distances.

Inconvénients :

As a non admin user the default in the app is not to be able to view previous personal submissions (i.e. previous month or week). Note, you cna do this thorugh desktop login. This would be a useful addition so users can review reciepts previously submitted (perhaps to check if a reciept was in a previous month or not) . Additionally the data capture UX for reciepts could be improved on Android. There isn't a submit button on image gallery selection, so it takes a while to figure out you swipe back. Only a minor issue though.

We find Webexpenses very comprehensive, but easy to use.

Avantages :

Intuitive design, easy to use, easy access on Windows, MAC and IOS devices. Great customer support service

Inconvénients :

Can be a bit too prescriptive, so care is needed in the initial set-up to ensure that expense entry is easy on mobile devices. Some parameters, like company, can only be added from the website and not on IOS - as far as I can see. There are sometimes exchange rate differences between the actual bill and what is charged to a credit card.

Wish it was more customizable for custom field tracking. Sometimes requires workarounds when using more than 2 countries.

Commentaires : We got rid of a manual Excel based expense system.

Avantages :

It is web based, meaning I don't have to be in the office to submit my expenses. It can be used on mobile devices. Receipts can be attached. It is easy and intuitive to use. Approval processing is good.

Inconvénients :

Integration with our accounting system (JDEdwards) is non-existent. I have devised a way to extract data from Webexpenses using a report, and then upload to JDEdwards. It is quite manual. Accounting is not very sophisticated. There are expense categories, but how they are linked to GL accounts is very basic. But I remember this is an issue with other expense systems. For example, in my previous job I had to administer Concur, and accounting was also very simple.

Gives me control over the work I do.

Avantages :

Easy to manage staff expenses what ever they are. Different access to fellow the process of each claim at what sage it is.

Inconvénients :

I wish I can do more on Mobile Application, it will help me more on managing whole system remotely. e.g. rejecting claims that are not complete.

Avantages :

Functionality, ease of use and administration. It makes using web expenses great for frequent travelers and its simple for them.

Inconvénients :

It does take time to change and implement a new system but it is worth it in the end. Some people tend to have resistance to change but it works in the end.

Useful system with great support

I find the receipt matching tool the most helpful on webexpenses, this can really speed up the process of submitting your claim.

Inconvénients :

Not being able to bulk upload user accounts into the system.

Fantastic Expense Management Product

Avantages :

Easy to use to train our staff. Staff really like the mobile application. The platform has helped us save time in terms of processing expense claims for staff. The money saved is substantial.

Inconvénients :

Some minor features missing such as ability to rotate or crop receipts but have been advised this will be included in a future release

Amazing system & time saving solution

Commentaires : With around 8000 employees in our business, processing expenses is a massive task & Webexpenses makes my job a whole lot easier. We have had amazing feedback from everyone in the business and Webexpenses has proved to be simple, easy and quick.

Avantages :

We previously used an old fashioned paper based expense system, so Webexpenses has been a much needed improvement in that department! As the expenses administrator, I find Webexpenses super easy and quick to navigate through - I am able to pull various reports i need, in just a few button clicks. I find the "notes" feature really useful especially when having to reject claims, a quick note can just be left instead of an awkward conversation!

Inconvénients :

Due to us being such a large company with so many employees, we did have a few issues with the speed of Webexpenses at first, but this is currently being looked into and we are already seeing improvements.

Myself and my colleagues find Webexpenses very user-friendly and easy to navigate.

Avantages :

As an administrator, I find the reporting tools to be the most useful aspect of webexpenses. The reports are generated very quickly and it is easy to modify them if required.

Inconvénients :

The time-out period is a little too short for when using the offline reporting module, as when I return to the webexpenses site from Excel I always have to log back in.

Avantages :

Great customer service, easy to use and we have quite complicated approval set ups and cost centres. The team was great in helping set this up.

Inconvénients :

We have a few users have issues attaching certain types of receipts. If the file is not a pdf you have to download the receipt to view which can be cumbersome so better integration of other document readers other then pdf.

Very easy to use, very helpful

Avantages :

Ease of use, interface is very user friendly. Data import is great and makes a tedious task a lot quicker. Also love the ability to have multiple admins.

Inconvénients :

Exporting data is a bit of a pain. Sometimes it does not come out in the correct format and the layout of the reports could be better.
