good app, easy to use

it remembers all the receipts i use and supports multi upload

Inconvénients :

it never remembers who my line manager is correctly. it defaulted to someone i have never interacted with and is not in my department. there are plenty of people who have left the business for years. the integration with other apps is not great

The day to day use of webexpenses is fine from a users perspective but less flexible for an admin

Avantages :

The best part of the software is the mobile app. If you enter your own claims as you go the system is great.

Inconvénients :

The lack of flexibility around mileage has been an issue for us and updating admin as we have a number of divisions. Running reports over different divisions for managers who are approvers for people in different divisions. People in the same team have to be in different divisions to manage the mileage therefore it falls back to the mileage rates not being flexible enough. Being able to set a mileage rate or rates by user would be the most beneficial improvement for us. Webexpenses often runs slow, the cloud icon turns for a few seconds before running reports and adding attachments etc. When a PA enters the expenses on behalf of their manager they find the process cumbersome and very slow, for example attaching receipts is slow and not being able to sort the order the receipts are entered (for example in date order) means that when faced with a pile of receipts from their manager they have to spend time sorting them first then attaching and then trying to identify which attachment is which from the repository before attaching to the claim lines. I have expressed a few times that I feel there is a step missing in the process, currently a user enters a claim, they submit it, it is approved and then gets finance approval and it is marked as paid. It then disappears from view and the only way to get a list of who you are paying is to run a report based on dates which risks missing or duplicating. There needs to be a passed for payment stage and then paid.

Commentaires : Generally very good, reliable and intuitive / straight forward

Avantages :

very simple way of submitting expenses with full transparency over items to claim, approve and the status of those claims

Inconvénients :

it can take quite a bit of time to do a claim submission where there are multiple items saved up over a period of time. It definitely works better as a process when you claim as an expense arises, rather than batch processing

I think the mileage map shouldn't pick the shortest route at every point- it's very rare that route has been used- think there should be a 10 mile overage allowance before it's marked as red

Commentaires : Overall, despite the niggles with the integrated map, it is an easy to use platform.

Avantages :

Summarised expenses claims, everything seems straightforward and easy to use.

Inconvénients :

I don't like the map integrated into the mileage claim section. It seems to use an outdated version of (Microsoft/Bing?) rather than Google Maps, and so will sometimes find a really random location rather than the obvious one you have put in, so you have to go back and edit it. Also the passenger mileage claim could be much better because at the moment you basically have to duplicate your claim under a slightly different setting. There ideally should be an option within the original claim to tick to say if you had any passengers, how many you had and how much this adds to the existing claim.

Webexpenses - fulfills all my needs and easy to use

very easy to use - both on the laptop and mobile - i don't have to keep paper receipts anymore and i can do my expenses on the go

Inconvénients :

bit difficult to adjust mileage i find - fo rinstance if i had to detour for an accident i find the maps a bit tricky to navigate

Very quick to implement and intuitive to learn

Inconvénients :

Doesn't integrate as well with other systems however all other tweaks were put through really quickly.

Just Bad. Clunky and behind competitors

Commentaires : Frustrating. Inefficient. Clunky. Not well programmed.

Avantages :

Not a lot. It hasnt crashed or lost items. But thats about it.

Inconvénients :

Its clunky, awkward, and aimply fails as a time saver. Other products are ligjt years better. Worst of all trying to record receipts and transactions as you go simply doesnt work properly when its time to reconcile and submit a report.

Quick and smooth transparent system

Commentaires : It makes claiming a lot faster. how you can take a picture of a receipt and it creatyes a claim for you rather than having to enter every field manually which is a time concuming process in which was previously used through the business to claim expenses Transparency through the process in a digital form which negates the use of paper trails.

Inconvénients :

Mobile app doesn't always work correctly for example if the desktop version is updated the app doesn't always update with claims. sometimes the app crashes mid way through a claim thereofore deleting your data. The integrating milage calculator doesn't allow you to select routes as its not always the route the map decides to be the one you used. More or less miles could have been done due to traffic, knowledge of shortcuts or multiple stops.

Managing Your Expenses Has Never Been Easier!!

Avantages :

I like Webexpenses because it is easy to use, and you can keep track of how much you are spending in fuel, and eats while on the job! It notifies you as soon as your claim has been approved by each approver!!

Inconvénients :

There is nothing not to like, it's very easy to use, just go step by step!!

A capable, efficient system

Commentaires : We've saved countless hours of admin time in Finance, we have no more paper copies in and out of archive. Senior Management can query any claim the KPIs alert them to and we can give them receipt level detail.
We manage 1,500 live users, with claims paid weekly, using one expenses administrator (plus cover.)

Avantages :

We liked being able to tailor the design of the divisions (companies) within our account to reflect the expenses policy and mileage set-up of each business unit.

Inconvénients :

The carbon estimating tool is very blunt - we override this with another solution for reporting purposes

Commentaires : For a small business with a low number of claims this product is good.

Avantages :

Easy to use with all technology, mobile, laptop and tablet.

Inconvénients :

Unable to label receipts before uploading, only 2 VAT codes, failed transfers can only be reloaded by support

Great end user experience

Avantages :

As an end user I can either use the web portal or the mobile app. The mobile app is easy to use and uploading photos is very easy. Using the web portal has a few extra features, I can copy an entries and make slight amendments to save time if several are very similar. I like that I can create a report to see how much mileage i claimed for.

Inconvénients :

You have to have mobile signal at the time of submitting, it would be good if you have no signal that it saves the entry, then syncs when signal returns.

Commentaires : Love it!I wish there was more default settings to add. As I have to repeat a lot of data that doesn't change.
Foe example, I will always select me as the person who ate the food. There is a lot of items that don't change.

Commentaires : moving to webexpenses made my daily task of claiming expenses a very easy one.
i now no longer need to retain multiple paper recipts for submission at the end of the month.

Avantages :

the ability to retain my recipts digitally and add to expense claims on the go using the mobile app. The mapping feature for mileage calculations are fantastic and make the whoe process very simple

Inconvénients :

theres nothing i have found so far with the app that i do not like.

Good system but......

Commentaires : Overall a good product that streamlines the whole reimbursement process. Could have slight improvements with being able to draw on screen and highlight or select areas that you want to bring attention to.

Avantages :

Using Webexpenses to sign off expenses is fast and very easy to navigate. Easy to log in and find expenses that have been submitted.

Inconvénients :

It can be cumbersome in trying to submit expenses. The loading of reciepts can be difficult sometimes depending on the format used.

Avantages :

Linked desktop and mobile app makes it much easier to add items to a claim than before. Uploading receipts via the mobile app automatically inputs most of the required elements and makes the process much quicker.

Inconvénients :

Viewing receipts linked to an item via the desktop site can be temperamental at times.
