Great software with great opportunities for evolved document management

Avantages :

I like how versatile it is and how much you can customize despite being out of the box. Many features and great support teams

Inconvénients :

We have had some issues with upgrades through the past, where the support teams have had issues finding solutions to quite simple bugs that were prominent even before upgrading

Analytic Reports

Avantages :

+ If you need to go paperless, automate operations, or implement Robotic process automation this is the best software in Contemporary Market world. + Great solution for document workflow Management. + Hyperlink feature on each level of document management is a great feature. + Adding Notes and sharing documents via Email management is a nice option to have. + Exciting to learn more about Analytics Tool.

Inconvénients :

-> Performance: It is taking couple of minutes time to load large documents (No Performance issues on small files). - Would like to know if Search function has option to add best bets on Global Search -> Once we select the application, it would be good if we have a search option in that particular application level (like Global Search). -> Being able to understand It as an emerging company, Would like to see if there is more scope for Employee Collaboration on sharing ideas like a Message Chatting tool within DocuPhase to share and discuss about the document management. -> Hyperlink feature on each level of document management is a great feature, would love it more if this hyperlink feature is also in Workflow history management level to make administrator's Job Easy down the years on a given document history.

The program is very useful, but when there is a problem that I can't solve in-house, it's difficult.

Commentaires : Saving time, providing all of our hard-copied data at our fingertips digitally.

Avantages :

Customization capabilities, ease-of-finding results, search capabilities, scalability, when iLink works it saves a ton of time

Inconvénients :

iLink is EXTREMELY temperamental - at best - and works only 10% of the time. When there are problems with ScanDox/Upload Manager, the solution that fixed the problem the time prior doesn't always work, which leads to a tech support request .

It's so easy to use and manage

Commentaires : Customer service is AWESOME!

Avantages :

This product is very easy to navigate and use. There are so many things that you can do, such as: add notes, create zip file, PDF. Edit , upload files. You can set up your files however it fits your needs. And if you need help, customer service is awesome and responds usually the same day.

Inconvénients :

I am not sure there is a way, but it would be nice if you see you have files you no longer need that you can just delete them and have it free space without having to call and pay for more.

Amazing System - Transformed the way we do business!

Commentaires : The flexibilty within the system makes this software a best in class solution! We continue to develop forms to automate workflow approvals, and the best part is when a web form is created and approved via the worflow process the data is archieved automatically.

Avantages :

The ability to customize this product to our needs. From soup to nuts this system can provide a solution to automate, authorize and archive every document you can imagine. It is very rare that you find a document management software that not only meets the needs for compliance in archiving documents but also provides workflow managment and digital signature. All of the features this systems offers makes it a true system solution.

Inconvénients :

I am not sure I have a one. The software exceeds my expectations.

Commentaires : so far, your customer service has been able to do a conference call with me and our IT dept so that we can update changes to our system to match your changes to get us back up and running.

Avantages :

The software is fine, but when your company does updates and changes to your system, you need to contact the customer so that we can alert our IT departments to coordinate with you to make the same changes on our end. This has happened a few times in the last few months and it is extremely frustrating when we can not see what is scanned because of updated changes done by you without us knowing.

Inconvénients :

when you make updated changes to the system that effect our using the program on our end.

Great Product

Avantages :

This software has streamlined our processes and the customer service of DocuPhase is excellent

Inconvénients :

Sometimes Slow and causes disruption in our productivity

The team at Docuphase are able to solve every idea I have and the software is a massive time saver.

Commentaires : Our volume doubled since we chose Docuphase yet we have not needed to hire any additional staff yet. Staff have become accountable for their errors and we have been able to implement changes to our workflow to prevent any mistakes intentional or not.

Avantages :

The flexibility of the forms along with the workflow make it great for getting proper approvals for your processes but also automating the actual task linked to the form.

Inconvénients :

Probably the only thing I don't like is that I normal users don't see the progress of items they have processed once they have gone on to the next person without checking the actual document. Again docuphase have ways of showing this both by just giving more access or via a custom form.

Convenient tool for AP management

Avantages :

Since the company decided to go paperless, this tool has been implemented and made our daily work within AP very convenient. It connects purchasing department and finance department easily without necessity to investigate from one another. There is a clear connection between suppliers-purchase orders-deliveries-invoices-final payment. Everyone has clear overview about current situation on each account. The integration with our existing processes went smoothly as it was needed a lot.

Inconvénients :

The only con which I experienced was that sometimes when long email discussion needs to be uploaded into system as an attachment, it takes few minutes. But this happens only occasionally, so we can live with it.

DocuPhase Software

Commentaires : The overall experience has been very good. DocuPhase support team is excellent when issues arise.

Avantages :

The platform is easy to set-up and maintain. Security can be built at the user or group level. The email approval functionality is very useful for employees that are constantly on the go.

Inconvénients :

DocuPhase's capture software Ancora has a few bugs that need to be worked out to increase reliability.

Long time customer

Commentaires : From the beginning my experiences has been nothing but positive, the program itself is extremely robust and needs little maintenance.

Avantages :

I like the ease of this program. Training is extremely simple for a program like this and document retrieval is super fast. I also like that any super user can expand the program to accommodate an entire company with all the levels of security that one could ask for.

Inconvénients :

I do not like the the programmers keep changing how the "rubber stamps" work from version to version. some versions can be assigned to users and the latest version has no assigning. this leads to a sloppy workflow and cumbersome use.

Excellent Document Management Software

Commentaires : It saves me time from having to look for a physical copy of an invoice.

Avantages :

We use Isynergy at work. It is a great software for reviewing documents and recovering old invoices whenever a question arises.

Inconvénients :

There are no shortfalls with the software that I have encountered. It retrieves documents quickly and accurately.

We've been using the system for six months and so far our experience has been great.

Avantages :

I really like the automation of the system and the workflows. I have seen a reduction in data entry errors and has been a great time saver in chasing down approvals.

Inconvénients :

For me, there are only two cons with the system: (1) occasionally it'll get really slow and may take longer to generate the form. Support has been great at resolving with it does happen. (2) I'm on the West Coast and Support is on the East Coast, so if it's late in the day, there may be a delay in response.

I use DocuPhase daily to view scanned documents

Avantages :

Easiest way to go paperless. I use ScanDox to scan documents that are stored in DocuPhase. Once you pull up the program, you just enter the data in the searchable application and electronic documents pull right up. You can view on screen, save it for later or print out if needed.

Inconvénients :

The least I like about DocuPhase is the lack of being able to do random searches of each application for quality assurance.

Help solve business challenges and support is excellent. Can automate nearly anything.

Commentaires : Helps scale business process, automate data-oriented tasks and is flexible enough to use anywhere in our organization.

Avantages :

Can be used to automate and store documents for any process, department or team and has outstanding integration capability. Highly expandable in regards to progression workflows and document storage containers.

Inconvénients :

Web form has limited ability to customize. It is functional, but could use a face lift and functionality overhaul.

Cost effective functional document management tool.

Commentaires : I liked it in general. It was suitable for my intended use. It is behind compared to other software that I use only in terms of interface.

Avantages :

Affordable. Customer support is very sweet. The ease of filing documents is impressive. Workflow tools are versatile and intuitive.

Inconvénients :

The user interface is confusing. That's why I find the platform boring. The interface needs to be more smooth and colorful.

Docuphase makes work life less wasteful

I like the ease of use and the storage capacity

Inconvénients :

The roll out of the new system was not very friendly! Kudos to Gil and team members for helping make the transition easier.

Docuphase is a must have for office/remote hybrid workplaces

Commentaires : It is so much easier to access, organize and retain files than traditional paper files.

It can be accessed through a web browser from anywhere. I can access my files while at the office or remote.

Inconvénients :

I have not had any negative experiences thus far.

Implemented DocuPhase for multiple uses at customer sites. Good product, efficiency improvements.

Avantages :

The software provides features that are common on some of the more popular big-name (and costly) competitors. The interfaces were easy for the users to learn.

Inconvénients :

The support tends to be inconsistent based on who with the company is providing it. This may be remedied now, but was an issue previously during some implementations.

The software's OCR function allows just about anything from any program to work with DocuPhase.

Inconvénients :

The software's OCR function is complicated and requires a lot of tuning to get working.

Ease of Use and Support

Commentaires : Excellent overall rating.

Avantages :

Administration is very easy to use and configure. Product documentation storage works well along with the revision functions. Support for software is on point with a very friendly support staff.

Inconvénients :

Document notifications can be improved. Using docuphase over vpn is slow.

Useful But Sticking to What I prefer

Commentaires : We use this as an electronic filing cabinet to store all documents from applicants and trainees

Avantages :

That all documents scanned for an applicant were all in one place. They also neatly held in the space just like a filing cabinet

Inconvénients :

What ai liked the least about thus software is the fact that it logs you off in less than five minutes

Super support and implementation
