our experience with EMaint

Commentaires : Search options are great. But for a fast-paced and international service company, they were not able to deliver everything they promised.

Avantages :

It does have major sorting features, which were not available with our previous software. We are a service/repair company needing to consolidate to a single software to handle work order mgmt, asset mgmt, inventory mgmt, purchasing mgmt, etc. Being able to quickly sort and locate an item is a major plus.

Inconvénients :

We were hurried through the implementation process, and other than the initial call and giving you a few days, there was little or scattered help and customizing the software. After purchasing the software and implementation, they essentially tell you to watch some videos and have fun setting it up yourself. We have had the software for over a year and are still not able to fully utilize it for our company. We still having to use our previous software while crippling along trying to get some use out of this software and the mobile app, while still trying to get main features set up and fine-tuning others. Not that we haven't had any assistance at all. But it's back-and-forth emails that sometimes get answered and sometimes do not, and a lot of them not understanding your requests, and sometimes situations never getting handled at all. If you are looking for a company that will work to make sure your software is functioning to your liking, this is sadly not it.

Maintenance Database With Potential

Commentaires : It was made more so for someone who could sit behind a desk and put information into the system all day. We did not have that capability. It was not easy to generate reports or to pure information that had been stored for years.

Avantages :

The on-line aspect was useful for administrators, but the mobile app was most helpful for the workers in the field.

Inconvénients :

The trainings were not easy to follow, and one on one help was difficult. The on boarding process seemed unavailable after the sale so we were paying for parts of the system that were never used

Commentaires : eMaint CMMS is very clean and intuitive Software and it's a great choice for companies who need to improve work quality of their maintenance teams. It also performs very well on mobile so we can easily access the software from anywhere, at any time from the mobile device which saves my lots of time and effort.

Avantages :

eMaint is very easy to use and provides excellent support. It has a wide range pre-built features that helps maintenance teams to keep track of their work, maintenance schedules, asset management, inventory management and much more.

Inconvénients :

It offers many tool integration but I feel that they can improve tool integration feature which allows you to integrate any tool with this software.

Having a great database with a poor human interface is like having an ultra-fit body with a bad heart.

Avantages :

eMaint tracks the data needed to make good decisions. The user interface is highly customizable. I have used many CMMS systems this is definitely not the worst.

Inconvénients :

The graphical user interface misses many of the features taken for granted by users such as putting your cursor into the search box you just opened. There is not logic to the flow of the forms presented. Tab order does not skip irreverent widgets. You have to perform many useless / wasted steps to process your work orders. The software relies on end users to perform much of the tedious tasks that you wish the computer could do for you. Two thirds of our data entry time is due to wasted steps. This software exports three file formats and imports three file formats. The import can not read any of the formats exported. On import most of the field names exported can not be recognized by this software.

Functional and Useful, But Needs Many Improvements

Commentaires : It's been good in that it's been functional. I wish that eMaint offered personnel that can help the implementation process to gather data from plant equipment manuals on manufacturer recommended maintenance schedules.

Avantages :

I appreciate the new user interface and it's useful functions

Inconvénients :

I least like how inexperienced the customer support team is on certain tasks. For example for a long time certain support staff told me that you couldn't have a field that populates the Asset Description into the PM form. Later a support staff made it happen. Just wish it wouldn't have waited so long.

Commentaires : Cardinal CG, Buford Georgia is one of 28 Cardinal Glass facilities manufacturing residential glass products. Upon my joining the Buford plant, the company had not made a profit in five years. The company lacked organization and was not producing product in an efficient manner. Our facility is unique to the other Cardinal plants, because we have two separate manufacturing processes running as separate cost centers. Because of the structure of the company, each cost center has separate support staff (i.e. maintenance, engineering and management). In October 2008, I joined the Cardinal CG Buford location. As Tempering Maintenance Manager, I was challenged with turning the Tempering production side of the operation around. There was no CMMS system in place and no one was tracking the machine downtime. Safety was out of control; there were three accidents in my department in the first two weeks of my accepting the position. Vibration analysis reports were not being reviewed and costly failures were frequent. The department had a shift log book, but the data was not in a format that could easily be put into a database. The Coating Maintenance department was using MP2 for their data collection. In an effort to get a CMMS up and running quickly, I acquired an additional license and began to enter data. After a week or two, I attempted retrieve some of the data in MP2, but the reporting feature had not been installed. I then contacted the CMMS vendor (Mp2) to inquire about reporting my data in the format needed.

After several conversations relating to the reporting within the CMMS, I was told that they could not provide the report that my boss had requested. I offered to purchase the reporting module, but no one attempted to follow up with my request. This is how the search for a new system began. Because my background and interest was in CMMS programs, I began my search on the Internet. I had followed various CMMS over the years, and realized that an investment in a CMMS program could be very costly. As I searched, indicators were leading me toward a cloud-based system.

The criteria for the CMMS was (1) support had to be readily available on all shifts and (2)the cost of implementation had to be low. One of my concerns was transferring the data from MP2 to the new database. Time to implement was critical also. I had to drive the downtime down. My selection came down to E-Maint X3 . The product demo offered online provided all of the initial answers to the questions that would come forth during a selection process for a CMMS. Because it is a subscription-based system, the cost to implement is very low.
The implementation of EMaint was simple and very fast. I had total control of the implementation process. The transfer of the data files went without a hitch. I cannot begin to express how well the transition went. One of the greatest strengths of E-Maint is the administrator can change any of the field names or report formats. Unlike other programs where there is a fee each time you make a change to the program, E-Maint allows you to format your database to suit your industry. E-Maint is not just another canned product that you take as-is. Of course when you mention a web based program, management initially will push back because they do not want employees to access the Web. I suggested to E-Maint that they setup an email address for work requests to dump into and then pull the data to a work request form. This has proven to be the answer to get around issues with accessing the Internet. E-Maint provides all of the security levels needed to prevent just anyone from accessing your data. Because of the ability to send request via email, all requests dump to my iPhone and I have put an iPhone on the department golf cart for quick response. Because E-Maint is web-based, I could bring my crew into a conference room and review the program on a weekly basis. The training as a group lasted about 2 hours. The program is user-friendly and the subscription to E-Maint University has proven to assist the technicians in the use of the program. Customer support for the product is second to none. In most cases all of my issues are resolved during the phone conversations. The only real problems that I have experienced with E-Maint are those that I caused myself because of the freedom to change the program. It only takes one phone call to straighten the issue out. Customer Support will provide you a direct line to a technician so that you can work with the same person and build the relationship necessary to help build confidence in the use of the CMMS. Since implementation of E-Maint, we have continued to reduce machine downtime. Once the original CMMS database was functional we established a goal of 5% downtime or 95% UPTIME. Since the implementation of E-Maint we have established a goal of 98% UPTIME and have consistently hit 97.7% and at the time of the most current report we are at 99.34%.

Great CMMS Program with many use cases

Avantages :

The software comes "out of the box" ready to use on a base level. Customization of fields, forms, and functionality (through workflows and other means) is very simple and the customer support team is always there to help you implement your ideas and goals; outstanding team honestly. The system really excels in helping you track your assets and inventory in a very clean and organized way.

Inconvénients :

I have found that even though there is a LOT that can be done in the system to make it work for your specific application, there have been a few limitations in areas that I would have thought would be better. We are on X4 and its still based on their X3 system and certain parts put you back into X3 mode and it can be a little confusing at times, like in the pending POs section, and other parts of the purchasing area in general. There have also been some functionalities of the system that I would have thought would have been standard for workflows of the system but aren't, most though were able to be added to some degree. Also the formatting of reports is clunky and annoying at times; certainly improvements to be done with doing a betting "mass" report publish for things like monthly report and such.

Multiple implementation in an FDA environment.

Commentaires : Overall, I have Very Happy with eMaint. Our use has continually expanded over the years to include Calibrations, FDA validation, and now multiple site operations..

Avantages :

The Things I like Most about the Software is it is Dependable and Functional. The software has been running here for 6 years. and it has not had a significant outage during that time. We have validated the software to be FDA compliant, and use it for our calibrations and Maintenance activities. eMaint's functionality is expansive. It is configurable it has options to accommodate physical plant, equipment, and fleet management. KPI Reporting is built into software and eMaint support has always been able to help with any basic setup issues (at no cost). Additionally ,There is 24 hour support for any issues included in the subscription.

Inconvénients :

The part of eMaint that was the most challenging for me was the Creation custom reports and sorts. IT seemed a little counter intuitive to me. With that being said the eMaint support team was always more tan accommodating in helping me work out any difficulties.

eMaint for daily tracking

Commentaires : Our overall experience with eMaint has been that it is easy to set up and very expandable to keep track of everything maintenance related.

Avantages :

We started using eMaint several years ago and the set up and integration went smoothly. Once our assets were in the system it was simple to establish PM's and condition inspections. We now use the software to plan, schedule and track all our PM's. These results generate corrective WO's along with department request for corrective or Emergency WO's. Safety also uses the system to track the inspection and condition of all of their assets, extinguishers, fire systems, emergency lights, Chlorine alarms and etc. We are beginning to use it to record and track age on critical components such as motors, gearboxes and etc. eMaint provides us with a simple easy to use program for all users to access information, print WO's and close them in a timely fashion While keeping the administrative side of the program secure.

Inconvénients :

I wish they had a phone app to make information accessible in the field. The only way to retrieve or enter information is on a computer. We are trying to capture more BOM and part info in the field to expand our use of the system.

Commentaires : Inventory management has reduced on hand levels and value. Work order history tied to the asset has shown trends to modify PM schedules to further reduce costs and in turn less breakdowns.
Very satisfied with the support team to resolve issues as they arise.

Avantages :

PM auto generation, report building, asset data and history, inventory management, purchasing, work orders, interface with external sensors and user management are some of the features that work very well. Tables and most forms can be modified as needed to fit org. needs, required fields, auto populated fields, e-mail links all can be done at local admin. Can create workflows to automatically fill in data. Reports are customizable for all tables that you have permissions for. Tech support and a dedicated CMS are great. Versatility, costs, support and the application fit our needs.

Inconvénients :

Exports and reports are tied to older office versions, uses .xls rather then .xlsx. Requisitions are still on the X3 platform. Can only interface e-maint data out by reports (cannot directly feed an ERP system for processing payments)

What I've noticed, you keep on calling the IT people to help you do this do that and so on. It's not really a friendly user, You need to call IT to help you fix something that is too small and supposedly easy. It seems that they controlled everything. which is not good

Commentaires : Overall eMaint works well for us. We use X4, so with multiple sites we have some challenges.
Having eMaint has helped with ease of access to information at our finger tips for external auditors, and for internal reports. We use the export data function a lot!

Avantages :

Very customizable to individual needs, most changes can quickly be done in-house.

Inconvénients :

Because of the flexibility, not all of our sites are built the same way (forms for example), so sometimes copying a report for other sites does not work seamlessly.

Commentaires : I'm the maintenance manager of a small/mid-sized manufacturing facility (60K sq. ft.). I recently led the purchase of eMaint X3's CMMS to improve the efficiency of my department; and would highly recommend it for companies looking for a highly functional and customizable CMMS, at a manageable cost. As a company, we were experiencing one of the most challenging growth-periods a company faces in its growth cycle. That in-between stage, when the company starts to necessitate large company functionality, on a small-company budget. So the need to increase my department's efficiency at minimal cost became a top priority. I began looking at a multitude of options, from on premise software systems to web-based systems. In pursuit of finding the right system, I found the following criteria pertinent to my decision: Functionality- does it do what I need it to do
Security- is our information safe
Reliability- is the program/company stable (loss of input data is time wasted)
Expandability- can the program grow with the company, or information transferable in the future, if a higher-end CMMS is necessary
Ease of implementation- teachable, easy to navigate, intuitive, customizable, support,
Cost- purchase price, administration costs, implementation costs, server loads, etc.
Utilizing Software Advice's services, I was able to narrow down my list of possible solutions. Dramatically reducing the time and energy necessary to find the program that would work best for our company. After demoing the programs on my short-list, I found eMaint X3 offered the most features in my price range, as well as, the most customization options. It was the customization that propelled eMaint X3 beyond the abilities of any other program in its class. This being invaluable, in my opinion, because the interface could be customized to capture all the specific information we wanted, as well as, be modified to speak the language used internally; making it so intuitive to the user, implementation efforts were greatly reduced. It's for these reasons that I would highly recommend eMaint X3 to companies faced with challenges similar to ours.

Commentaires : This was our first maintenance software and we moved from trying to keep up with everything on Excel spreadsheets. I think this is a good product and I recommend it to others with maintenance responsibilities.

Avantages :

I like being able to generate work orders and keep up with maintenance costs. I like being able to track vehicle inspections, registrations, oil changes, etc.

Inconvénients :

I'm still using X3 because I haven't taken the time to learn the later versions. It seems like it is constantly changing, although I'm sure you are making improvements it is difficult for me to allot the time to keep up with the changes since I have many other job duties.

Commentaires : I understand I use the most basic functions of this program. Part of that is the lack of time to sit down and really go through every item on the drop screens, looking for the options I need to achieve my objectives. My thought has always been some of this could be streamlined from a programmers standpoint.

Avantages :

Quick and easy for daily use of producing work orders and PMs.

Inconvénients :

The integration and set up seems a bit more clunky than it has to be. Linking up with Excel to produce relevant and in depth spreadsheets takes way more steps to achieve than it should, in my opinion. There has been a lot of trial and error on my part to amass the info I need into an easily read format.

How to fall in love with the bomb, or use CMMS

Commentaires : Ease of use, my old software was outdated and very unfriendly. The web interface is a big plus also.

Avantages :

The software once up is easy to use, but the real plus is the support. The system(s) in place to help you get on track are top notch. Even a novice with little experience with this type of system would have very little trouble getting up an running in a reasonably short time. The web interface has proven to be an unexpected money saver. Not having to have any special hardware to run the software has allowed us to use end of service life surface pro's, and laptops. I spent 0 dollars out of my maintenance budget on computers for eMaint.

Inconvénients :

Not as intuitive as one would like, some stuff you just have to know where it is found, or you will have trouble finding

Commentaires : We really enjoy the software now that we have all of the "development" bugs worked out of it. We look forward to running our first annual reports in a few months.

Avantages :

Perhaps the most valuable aspect of eMaint software is that we are able to track multiple assets in a single program. This includes fleet, equipment, and facilities. We have been able to track projects as well as track inventories in a easy to use platform which is ideal when dealing with other departments within our township.

Inconvénients :

It takes a while to lean the software but the eMaint staff and eMaint University were great to get the admins up and running. We also had the opportunity to attend a Boot Camp in Florida which really brought everything together.

Success with EMaint

Commentaires : We moved from an inhouse developed program with similar structure, but no where near the capabilities and flexibility of EMaint, so the integration was smooth for us. We loved having a dedicated implementation specialist who tracked our progress and made suitable suggestions to fit our business style. The online support is key to my day to day operations, especially as we mature with use of the program. We are moving onto areas of the program we did not pick as part of the implementation process (because we were not ready) and find the Emaint University and Online support of great benefit. Lastly, the reporting function has been of great benefit and value. We are finally able to track in house labor as well as outsourced labor and parts and have it all tie into a specific or group of assets. Although still a work in progress for us, our technician are better able to compartmentalize their work and have become more efficient.

Avantages :

Program flexibility - we can easily design it to fit our needs, and progress from simple to more complex when we are ready. Program reporting - captures true costs, and future expenses for better planning and budgeting and tracks workload. Ease of use - both administrators and technicians have better scheduling and more efficient workload that is visible and manageable.

Inconvénients :

I would appreciate more work instructions for the smaller tasks be documented in a searchable format. For example, when I changed an existing task, I was not aware of the need to "publish" to all assets using the task. In hindsight, it makes sense but not being a computer programmer it did not come to mind. Also, more tutorial on writing reports would be great.
